- Late Setup: Booths not set up 15 minutes after the start time will be turned into rest areas or reassigned.
- Solicitation: If you are solicited during the show by another company/individual who is not a paying exhibitor, please report it to show staff immediately.
DETAILS: Exhibitor Rules:
- The event will take place rain or shine.
- Your booth must stay up for the entire event.
- You are responsible for your tents and tablecloths.
- Follow health precautions as dictated by local community standards.
- The Chamber reserves the right to move displays to comply with regulations and sponsorship agreements.
- Exhibit booths must be staffed and fully operational during show hours. Booths not set up at the show opening will be dismantled.
- No sound amplification or generators are permitted unless pre-approved.
- Eating, drinking, and smoking at exhibit booths are discouraged.
- All vendors must have business licenses, and proper Health Department permits (if required).
- Tents (outside): Maintain a 20’ separation from parked vehicles or internal combustion engines.
- Tents (outside):Maintain a 20’ distance from any Fire Lane, cooking and heating equipment, LPG containers, flammable or combustible liquids, containers, and generators.
- Tents (outside): Must be adequately anchored/weighted. Use sandbags, water barrels, or other weighted materials. Driving pegs or stakes into the flooring, pavement, or grass is prohibited.
- Exhibit space must be large enough to contain a reasonable audience for in-booth demonstrations. Objects may not be suspended over 8 feet above the ground/floor.
- Only approved services and products may be displayed or sold in your booth.
- Promotional materials may not be distributed outside your space.
- Lighting should be directed within the booth space and not project onto other exhibits or aisles.
- The sale, sampling, or distribution of food for consumption on the premises must be approved by the Chamber. Obtain necessary licenses or permits from the Health Department. Sample sizes should be less than 2 oz.
- All exposed parts of displays must be finished to avoid an unsightly appearance when viewed from adjoining booths or aisles.
- Signs in booths must not extend above 8’. Signs in island showcases must not rise more than 10’ above the floor/ground.
- Exhibitors may not share booth space.
- Keep exhibit space in good order, with storage boxes placed under tables or in designated storage areas.
- Helium balloons can only be used when permanently affixed to the booth display. Helium tanks must be stored in an approved stand. Helium balloons are not allowed at indoor events.
- Fire regulations typically prohibit the use of Sterno or open flames, including candles. Booths cooking with appliances or food warming devices for outdoor events must have at least one 20BC fire extinguisher. No LP gas, bottled gas, or gas tanks are permitted.
- Electrical wiring and displays must conform to the National Electrical Code safety rules. Generators are not permitted unless pre-approved in writing.
- Display vehicles must have less than ¼ tank of gas, at least one battery cable disconnected from each set of batteries, and the gas tank sealed or locked.
- The Exhibitor indemnifies and holds harmless the organizer against any claims. Disputes will be arbitrated in the State of Arizona.
- The Chamber does not provide cash refunds. At the discretion of the VP of Operations and Marketing, a credit may be applied to outstanding balances or future advertising, membership dues, or sponsorships. If the client does not apply credits within one year from the date issued, it constitutes refusal of the credit.
- Our show vendors have made significant investments to reach prospective customers. Soliciting exhibitors, including business card harvesting, pitching, and card spamming, is strictly prohibited. Individuals found soliciting show vendors or loitering around booths to pirate leads will be asked to leave immediately. Habitual offenders may face law enforcement action, a TAA (Trespassing and Authority to Arrest), or a formal cease and desist order. Report any suspicious activity to show staff for prompt action.
