Community Chamber of Commerce (“us,” “we,” or “our”) created this Web Site Privacy Policy (“Privacy Policy”) to ensure the confidence of visitors and customers (“you” or “your”) to our Websites (the “Site”), and to demonstrate our commitment to fair information practices and the protection of privacy.

By opting in, you consent to receive text (SMS) messages regarding updates, promotions, events, volunteer communications, membership communications, and other information related to our services. We do not sell, trade, or otherwise transfer your personal information to outside parties. Messaging frequency will vary and generally does not exceed 8 messages per year.

Home & Health Show Exhibitor Policies

EXHIBITOR POLICIES

Registration & Acceptance


Submission of a registration form does not guarantee acceptance into the event. The Chamber reserves the right to accept, reject, relocate, or remove any exhibitor, sponsor, display, product, service, or activity at its sole discretion.


All booth fees, sponsorship fees, and related event payments must be paid in full before participation in the event.


By registering and submitting payment, the exhibitor agrees to all Home & Health Show Exhibitor Policies.


Cancellation, Refund & Weather Policy


ALL BOOTH FEES, SPONSORSHIP FEES, AND EVENT PAYMENTS ARE FINAL AND NON-REFUNDABLE.


Home & Health Shows are conducted rain or shine and may include both indoor and outdoor exhibit spaces.

Exhibitors acknowledge that weather conditions, including but not limited to heat, wind, rain, dust, cold temperatures, storms, and other environmental conditions, may impact attendance, operations, visibility, comfort, setup, or teardown.


No refunds, credits, transfers, discounts, fee reductions, or chargebacks will be granted due to:

  • Exhibitor cancellation
  • Failure to attend
  • Inclement weather
  • Low attendance
  • Staffing shortages
  • Travel disruptions
  • Business conditions
  • Public health concerns
  • Government actions
  • Venue issues
  • Utility interruptions
  • Acts of God
  • Circumstances beyond the Chamber's reasonable control


The Chamber reserves the right to postpone, reschedule, relocate, shorten, extend, modify, or cancel an event at its sole discretion.


If an event is rescheduled, all exhibitor registrations and payments will automatically transfer to the new event date. An exhibitor's inability to attend a rescheduled event shall not entitle the exhibitor to a refund, transfer, credit, or future event placement.


Booth Sharing, Transfers & Resale


Booth space is licensed exclusively to the business listed on the registration.


Booths may not be:

  • Shared
  • Assigned
  • Sold
  • Resold
  • Subleased
  • Transferred

to another company, organization, individual, contractor, affiliate, representative, or partner without prior written approval from the Chamber.


Only the registered exhibitor may promote, market, demonstrate, display, or sell products and services from the assigned booth space.


Unauthorized booth sharing, transfers, or resale may result in immediate removal from the event without refund and may affect eligibility for future Chamber events.


Booth Display Requirements


All displays, tables, signs, merchandise, equipment, and promotional materials must fit entirely within the exhibitor's assigned booth space.


Exhibitors may not obstruct aisles, walkways, emergency exits, neighboring booths, entrances, or common areas.


Exhibitors and their representatives must remain within their assigned booth space while interacting with attendees.


Working the aisles, approaching attendees outside your booth, distributing materials in aisles, or conducting business outside your assigned booth space is strictly prohibited.


Violations may result in removal from the event and denial of participation in future events.


Setup & Teardown Requirements


All exhibit spaces must be fully set up during the designated setup period.

Exhibitors arriving after the published setup deadline may forfeit their assigned location and may be relocated or denied setup at the Chamber's discretion.

Booths must remain open, staffed, and operational throughout all published event hours.

Early teardown is prohibited.

Exhibitors who dismantle displays or leave prior to the official event closing may be prohibited from future Chamber events.


Outdoor Exhibitor Requirements


Outdoor exhibitors are responsible for supplying equipment suitable for outdoor conditions, including proper tent weights and safety equipment.


Recommended items include:

  • Tent weights
  • Outdoor-rated extension cords
  • Battery backups
  • Canopies
  • Table coverings
  • Weather-resistant signage


The Chamber reserves the right to require removal of tents, banners, signs, displays, or other materials deemed unsafe due to weather or safety concerns.


Exhibitors assume all risks associated with outdoor participation.


Licensing, Permits & Insurance


Exhibitors are responsible for obtaining and maintaining all licenses, permits, certifications, approvals, and insurance required by federal, state, county, city, venue, and industry regulations.

Proof of insurance or licensing may be requested at any time.

Participation in the event does not relieve exhibitors of their legal or regulatory obligations.


Property Damage


Exhibitors are responsible for any loss, damage, or injury caused by their displays, equipment, merchandise, employees, contractors, agents, or representatives.

Exhibitors agree to reimburse the Chamber and/or venue for any damage caused to buildings, floors, walls, landscaping, equipment, furnishings, or event property.

Exhibit hall floors must be protected against substances that may stain, scratch, or otherwise damage facility surfaces.


Facility Restrictions


Nothing may be nailed, stapled, screwed, taped, hung, attached, or otherwise fastened to facility walls, floors, ceilings, doors, windows, landscaping, or venue property without prior approval from event management and the venue.

No vehicles may be displayed or operated on venue property without prior written approval.


Food & Beverage Distribution


Food and beverage distribution may be restricted by venue requirements and health regulations.

Exhibitors may not distribute food or beverages without prior approval from event management and compliance with all applicable permits and regulations.

Exhibitors assume all responsibility for compliance with food handling and health requirements.


Photography & Video


Photography or video recording of another exhibitor's booth, displays, products, pricing, marketing materials, demonstrations, or customers is prohibited without the exhibitor's permission.

By participating in the event, exhibitors grant the Chamber permission to photograph and record exhibitor booths, displays, logos, representatives, and activities for promotional, educational, advertising, and marketing purposes without compensation.


Booth Cleanliness


Exhibitors are responsible for maintaining a clean, safe, and professional booth space throughout the event.

Boxes, packing materials, trash, merchandise, and equipment may not be stored in aisles, walkways, loading areas, or common spaces.

Items left in unauthorized areas may be removed or discarded without notice.


Noise & Demonstrations


Audio systems, microphones, music, demonstrations, videos, and promotional activities must be conducted at a reasonable volume.

Activities that interfere with neighboring exhibitors, presentations, or attendee experience may be restricted or discontinued by event management.


Safety & Conduct


Exhibitors must conduct themselves in a professional manner at all times.

The Chamber reserves the right to remove any exhibitor, representative, display, activity, product, promotion, or behavior deemed unsafe, disruptive, offensive, misleading, inappropriate, illegal, or inconsistent with the purpose of the event.

Removal may occur without refund.


No Guarantee of Attendance or Sales

The Chamber promotes and markets each event but makes no guarantee regarding:

  • Attendance levels
  • Sales volume
  • Lead generation
  • Customer traffic
  • Business opportunities
  • Return on investment

Participation is undertaken solely at the exhibitor's business risk.

No refunds or credits will be issued based on attendance, weather conditions, sales performance, or exhibitor satisfaction.


Limitation of Liability


The Chamber, venue, sponsors, volunteers, directors, officers, employees, agents, and event partners shall not be liable for any loss, theft, damage, injury, expense, claim, lost profits, lost sales, business interruption, property damage, or any direct, indirect, incidental, special, or consequential damages arising from participation in the event.

Exhibitors participate entirely at their own risk.


Indemnification


The exhibitor agrees to defend, indemnify, and hold harmless the Chamber, venue, sponsors, volunteers, directors, officers, employees, and agents from any claims, liabilities, damages, losses, costs, expenses, or attorney fees arising from the exhibitor's participation in the event.


Governing Law & Venue


These Exhibitor Policies shall be governed by the laws of the State of Arizona.

Any dispute, claim, lawsuit, or legal proceeding arising from participation in the event shall be brought exclusively in the state or federal courts located in Maricopa County, Arizona.

The exhibitor agrees to the exclusive jurisdiction and venue of such courts.


Chargebacks & Payment Disputes


By registering for the event, the exhibitor agrees not to dispute or charge back valid payments made in accordance with these policies.

Chargebacks or payment disputes filed in violation of these policies may result in collection activity, recovery of attorney fees and costs, cancellation of future registrations, and permanent disqualification from future Chamber events.


Acceptance of Policies


By registering for a Home & Health Show, submitting payment, and participating in the event, the exhibitor acknowledges that they have read, understand, and agree to all Home & Health Show Exhibitor Policies.
